At a Glance:

For grocery stores, supermarkets, and minimarts in the Philippines, StoreHub is a BIR-accredited POS system that scans barcodes, updates stock as items sell, and generates X-readings and Z-readings automatically. Three counter tests matter most: scanner speed, a stock count staff can trust, and clean BIR paperwork. More than 20,000 businesses across Southeast Asia use StoreHub.

For a grocery store or supermarket in the Philippines, the POS choice comes down to three counter tests. Does the scanner stay fast across thousands of SKUs on a payday weekend? Can staff trust the stock count without a weekly recount? And does the register handle BIR paperwork and senior and PWD discounts correctly?

A convenience store sells small baskets at all hours, and a wholesaler sells by the case. A grocery sells full baskets across aisles, so a slow scan, an empty shelf, or a discount done wrong shows up in front of waiting shoppers.

This guide covers what a Filipino grocery needs from a POS, how StoreHub handles it, and a plain look at when a sari-sari store or small minimart can wait.

Are these problems familiar in your grocery store?

Checkout lines that grow with every slow scan

On the 15th and 30th, the line can reach the door. A cashier typing prices or calling for a price check slows everyone behind them, and shoppers with full carts will not wait long.

Stock counts that live in a notebook

A grocery carries thousands of SKUs from many suppliers. With the count in a notebook, you learn an item ran out when a customer asks, and you cannot see what has sat on the shelf for months.

Senior and PWD discounts at the counter

Grocery discounts follow their own rules. According to a DTI advisory (Region 3 office, May 2025), seniors and PWDs get a 5% special discount on basic necessities and prime commodities, up to PHP 125 on PHP 2,500 of purchases each calendar week, and those purchases must cover at least four different kinds of these goods. Doing that by hand while shoppers wait invites mistakes. Rules change, so confirm with DTI or your Revenue District Office (RDO).

A register that stalls at the worst moment

A frozen register costs the most when the line is longest. A grocery needs a system that stays up and a support team that picks up the phone.

What to look for in a grocery POS in the Philippines

Before picking a system, check that it covers all of these:

  • Barcode checkout that stays fast. Scan, total, pay, next, even with a large catalog. The POS should work with barcode scanners and thermal printers.

  • Real-time stock with low-stock alerts. Each scanned item comes off the count right away, with low-stock alerts at reorder levels you set.

  • Reports that show what moves. Sales by item, hour, and staff member show bestsellers and slow movers, so supplier orders follow sales instead of memory.

  • BIR accreditation at the system level. X-readings, Z-readings, and e-journals generated automatically, plus a built-in special discount for seniors and PWDs.

  • Mall pre-accreditation, if you lease in a mall. Pre-accreditation saves time versus registering yourself.

  • A path to a second branch. One BackOffice for every store, with stock transfers between outlets recorded in the system.

  • Cashless payments at the counter. GCash, Maya, GrabPay, QR Ph, and bank payment apps alongside cash.

How StoreHub handles these for Filipino grocery stores

Checkout that keeps the line moving

StoreHub works with barcode scanners and thermal printers, so a sale is a scan, a total, and a payment.

Stock that updates with every sale

Inventory Management deducts stock in real time as each item is scanned, and low-stock alerts fire at the reorder thresholds you set. Candid Coffee, a Philippine coffee business on StoreHub, cut manual data work from eight hours to under 30 minutes. A grocery runs on the same mechanics: live counts instead of notebook tallies. If you buy by the carton and sell by the piece, the system can also take stock in one unit and count it in another: receive 1 carton and your stock shows 24 cans, with no conversion by hand (Inventory Management FAQ).

BIR paperwork and senior and PWD discounts

According to BIR RMO 24-2023, POS systems are subject to BIR accreditation and registration. StoreHub is BIR-accredited, generates X-readings, Z-readings, and e-journals automatically, and has a built-in special discount for seniors and PWDs. In a retail store, you mark which products count as basic necessities and prime commodities. The discount applies only to those items and shows on the BIR receipt.

A second branch without a second system

On the Advanced and Pro plans, multi-location management lets you manage 2 or 200 outlets from one BackOffice. Stock transfers between outlets are recorded in the system, and the Manager App lets you monitor performance anytime, anywhere.

Payments, uptime, and support

StoreHub accepts GCash, Maya, GrabPay, QR Ph, and bank payment apps alongside cash. It comes with a 99.9% uptime guarantee, and a local Philippine support team helps when a register misbehaves.

Voices from Filipino retailers on StoreHub

StoreHub's named Philippine retail voices run specialty counters rather than grocery aisles, so read this one for what it is: a retail owner on keeping a stock count accurate, not a grocery case study.

On a stock count you can trust:

"Before StoreHub, managing inventory was a big challenge. Now, the user-friendly system makes tracking stock efficient and accurate."

Does a sari-sari store or small minimart need a POS yet?

For most sari-sari stores, not yet, and the numbers show why. According to the DTI's job blueprint, as reported by Philstar in June 2025, the Philippines has about 1.3 million sari-sari stores, averaging PHP 861,000 to 1.12 million in sales a year. That is roughly PHP 2,400 to 3,100 a day.

The same blueprint lists a project to bring POS systems into inventory and financial management for large sari-sari stores, which matches our view. BIR's invoicing rules still apply to a small store, and the FAQ below covers them.

Like any system, StoreHub fits some stores better than others. Picture a sari-sari store in Lipa, Batangas: one window, a listahan for suki who pay on payday, about 150 items the owner knows by heart, and nobody else at the counter. A notebook or a free POS app such as Loyverse is the right answer there. StoreHub's Starter plan starts from PHP 2,249 per month, a real cost for a store selling roughly PHP 2,400 a day.

But once that store hires a cashier, passes a few hundred barcoded items, signs a mall lease, or nears the PHP 3 million a year that BIR sets as the VAT threshold (about PHP 8,200 a day), a POS starts to matter. A notebook cannot scan hundreds of items, produce BIR reports, or show who sold what.

A small minimart sits past that line, with hired cashiers and hundreds of barcoded items, so the three counter tests apply. If yours runs long hours with rotating shifts, see our convenience store guide. If you sell mostly by the case, see the wholesale guide.

StoreHub pricing in the Philippines

Three plans cover most grocery stores. Starter includes one register, one store, and up to 1,000 products. Advanced raises that to 10,000 products and adds more stores, stock transfers, and reorder suggestions, so it is the usual fit for a grocery with a full catalog.

Frequently asked questions

  1. What is the top POS system for grocery stores in the Philippines?

The best fit is a BIR-accredited POS that stays fast with large SKU counts, keeps stock levels live, and handles senior and PWD discounts on eligible items. StoreHub is built around those jobs, with barcode scanning, real-time inventory, and multi-branch management.

  2. What is a POS system in a grocery store?

A POS (point-of-sale) system is the software and hardware at the checkout that rings up items, takes payment, and prints the receipt. In a grocery it also deducts each scanned item from stock, so one scan updates the sale and the count.

  3. We sell hundreds of items daily. Can StoreHub's POS system handle that volume?

Yes. StoreHub works with barcode scanners, so each item goes into the sale with one scan and comes off stock in real time. Starter covers up to 1,000 products and Advanced up to 10,000, so a full grocery catalog usually needs Advanced or Pro. A demo with your own product list shows how it holds up at your volume.

  4. Will StoreHub's POS system help reduce overstocking and stockouts?

It can help, because it gives you the numbers to order by. Live stock counts and low-stock alerts show what is running low, and sales reports by item show what sells slowly. The ordering stays your call, but it is based on data, not memory.

  5. Why not just use a cheaper POS app or keep running things manually?

For a very small store, you can: a notebook or a free app is enough for a sari-sari window run by one person. A full POS earns its place with hired cashiers, hundreds of barcoded items, a mall lease, or a second branch.

  6. I already have a POS system. Do I need new BIR accreditation if I switch to StoreHub's POS system?

Not for StoreHub itself, which is already BIR-accredited. You should still expect to register the new system for your store, since BIR rules subject any POS to accreditation and registration (RMO 24-2023). StoreHub helps you apply for the PTU, and each register needs its own. Check the steps with your RDO.

  7. Does a sari-sari store need to issue receipts?

For some sales, yes. As we read BIR RMC 77-2024, the sales invoice is the primary sales document. VAT-registered sellers invoice every sale. Non-VAT sellers invoice any single sale of PHP 500 or more, any sale on request, and the day's smaller sales in aggregate. Rules change, so confirm with your RDO.
