Everything You Need to Know About E-Invoicing in Malaysia

Business owner managing inventory and accounting

In case you missed it, starting August 2024, the Malaysian Inland Revenue Board (IRBM) will implement new e-invoicing regulations as part of its strategy to digitise tax administration.

This system will replace traditional paper and electronic formats to streamline tax processes and enhance efficiency, transparency, and compliance.

The rollout will be mandatory and implemented in stages as follows:

  • By 1st August 2024: For taxpayers with an annual turnover of more than RM100 million
  • By 1st January 2025: For taxpayers with an annual turnover between RM25 million and RM100 million
  • By 1st July 2025: For all taxpayers

Why is this important?

E-invoicing is especially critical for business owners because it means less time spent sifting through stacks of paper and manual tasks, and more focus on meaningful activities that drive business growth. Here’s how it can transform your business:

  • Operational Efficiency: E-invoicing automates routine tasks, freeing up your staff to focus on more important activities like enhancing customer experience.
  • Error Reduction: Automation minimises human errors, ensuring your invoices are always accurate and compliant.
  • Customer Satisfaction: Faster invoice processing and payments can improve your relationships with suppliers and customers.
  • Scalability: As your business grows, e-invoicing systems can scale with you, handling increased volumes without adding extra overhead.

With so many resources and guides out there, we’ve simplified things with an SME-friendly guide to help you transition smoothly to e-invoicing.

This guide is designed to address common pain points and ensure a seamless switch:

  1. Assess Your Current System: Look for areas where your invoicing process is slow or prone to errors. Are invoices frequently delayed or lost? Are there consistent mistakes in data entry? This can help you to understand what changes are necessary to fully implement e-invoicing.
  2. Choose a Compliant Platform: Opt for a platform like StoreHub that complies with Malaysian regulations and offers seamless integration. Compliance is key to avoiding penalties and ensuring smooth operations.
  3. Train Your Staff: Ensure your team is well-versed in the new system. Conduct comprehensive training sessions to familiarise them with the e-invoicing processes. This way, you don’t just boost efficiency – you reduce errors significantly, too.
  4. Inform Your Customers: Keep your customers in the loop; explaining the benefits of e-invoicing and how it will streamline their transactions with you.
  5. Leverage Feedback: Use customer feedback to continuously improve the e-invoicing experience. This feedback is invaluable for making necessary adjustments and enhancements, ensuring that your system works smoothly for everyone involved.
